Administrative Assistant for Alternative Learning Programs - Lawrence

Greenbush is looking for an administrative assistant for alternative learning programs to work closely with program administrators in supporting schools in the areas of virtual, online, and blended learning programs.  The successful candidate should be an effective communicator, technologically literate, able to work independently, and service oriented.

This position will represent being the front line customer service person for online programs for Greenbush and will work with a small team of professionals in our Lawrence, KS, office.  Qualities include being self directed, able to work independently, problem solver, ability to work in a team environment, and being punctual.  Office hours are Monday-Friday, 8-4.  Paid health insurance, holidays, breaks, vacation, sick leave, KPERS participation, matching retirement contributions.

Daily tasks include but are not limited to:

Enrollment into virtual classes

Assigning teachers to students/classes

Answering questions about pricing, services, classes, etc.

Collecting payment

Sending invoices for payment

Sending course completion certificates to schools

Providing schools, teachers, parents, or students assistance or referring to tech support

Keeping organized digital records for all of the above (Google docs, sheets, forms, etc.)

Answering emails or phone calls for all of the above

Providing transcripts for teacher professional development

Assisting with local workshop setup

Administrative Assistant for Alternative Learning Programs Job Description


The administrative assistant for alternative learning programs will primarily be responsible for the management of Greenbush Online students in the student data system for online instruction, online instructors, and the online alternative education program. In addition, the administrative assistant will provide support for other alternative programs, and workshops provided through Greenbush School Improvement Services/PDP Toolbox.

Responsible to: Alternative Education Program Director and/or his/her designee

Essential Functions:

  1. Create users and enroll students in online courses.
  2. Assign a teacher to the student and send appropriate emails and reports.
  3. Create billing invoices for USDs and/or verify payment of students at time of enrollment.
  4. De-activate expired accounts.
  5. Activate / inactivate student email accounts.
  6. Provide phone and tech support.
  7. Maintain all required records and reports.
  8. Assist the Hospitality and Programs Coordinator with the following duties;
  9. Other duties as assigned.

Physical Requirements:

  1. Sitting for long periods of time, working on the computer for long periods of time.
  2. Manages all job duties with mobility, agility, and dexterity to access files, input data, file, use media equipment, type, word process, and maintain records.
  3. Requires intermittent standing, stooping, kneeling, and crouching during times of assistance to support professional development presentations and events.
  4. Requires intermittent lifting of (floor to waist and overhead) of materials, equipment, and other supplies.
  5. Work in a noisy environment with many interruptions.
  6. Requires travel in personal car or service center vehicle.

  7. Must complete all assignments in a time-sensitive manner as determined by Executive Director/Supervisor.
  8. Must meet all safety requirements as directed by the Service Center.
