Oversee the recruitment, hiring process, and supervision of activity and club sponsors
Mentor activity and club sponsors
Conduct both pre-season and post-season individual meetings with head sponsors to discuss roles and responsibilities as well as their needs for support
Conduct monthly 10-Minute Meetings with each sponsor
Host quarterly advisory sessions with sponsors to set and monitor goals and to receive feedback, ideas, and suggestions
Attend meetings and practices on a regular basis and provide coaching and support for sponsors
Provide professional development for sponsors as needed
Provide character training for sponsors and students
Students
Assist in hosting quarterly advisory sessions with students who participate in athletics and activities to set and monitor goals and to receive feedback, ideas, and suggestions
Mediate any student/parent/sponsor concerns that may arise
Work with Extra-Curricular team to create and implement a plan to ensure 100% student participation in at least one extra-curricular activity
Fundraising/Budgeting/Fiscal Management
Create yearly budget for activities
Approve sponsors’ orders for activity/club supplies and expenditures
Assist the athletic director in seeking partnerships with local and regional businesses to continually increase financial and other types of support for high school teams and organizations
Work closely with district financial officer on all major purchases
Prepare and oversee and assist with all activity/club budgets
Approve and oversee fundraisers for activities and clubs
Facilities/Maintenance/Equipment
Ensure that all activity and club events are scheduled via the district’s management system to ensure that facilities are reserved for practices and events
Research and advise any facility or major equipment replacement or upgrades
Coordinate and communicate with high school and district staff to ensure facilities are safe and properly prepared for events
Oversee the inventory and evaluation of equipment for activities and clubs
Oversee and enter work orders into School Dude (or other management system determined by the district for all school needs
Conduct a daily, weekly, and monthly inspection of all school facilities; communicate needs to the principal and district facilities staff as needed
Conduct data gathering and analysis of the efficiency, effectiveness, and quality of the facilities and their upkeep and maintenance
Work with principals and staff to create requests for holiday and summer break project requests to be submitted to the district management system
Custodians
Work with custodial staff to create and adjust a set of expectations and a schedule
Maintain communication among custodial staff, staff, and administration
Set, monitor, and communicate progress on long-term and short-term goals
Assist the principal in charge of classified staff to hire, evaluate, and provide feedback to custodial staff
Compliance
Ensure the department, coaches, and sponsors are compliant with district, school, and organization and/or KSHSAA policies, rules, guidelines, and procedures
Assist with updating, revising, and distributing handbook and policies
Approve activity and club handbooks and/or constitution
Assist with random drug testing according to USD 480 policy
Ensure that all activity and club participants are eligible to do so
Attend conference and KSHSAA meetings with the athletic director as assigned
Scheduling/Events
Assist activity and club sponsors with scheduling, contracts, etc. as needed
Serve as host to home activity and club events, ensuring that Liberal High School is represented as a class act institution
Assist the athletic director in event management for athletic events
Manage the hiring, scheduling, and payment of event workers for activities and clubs, as needed
Communicate and coordinate with principal and assistant principals to ensure necessary supervision of events
Oversee and approve transportation planning and requests for all high school activity and club events
Collaborate with middle school athletic/activities directors as needed to coordinate facility usage, staffing, and other athletic/activities-related issues
Provide timely information regarding event details to all stakeholders
Coordinate a send-off for all teams and organizations who are competing in state-level competition or higher
Schedule, organize, and coordinate recognition and Appreciation Nights for all home varsity football and basketball events, and other events as assigned
Supervise the Rowdy Crowd at home events
Work with Rowdy Crowd to establish guidelines, themes, and expected conduct
Oversee Homecoming Week events and activities
Public Relations
Promote high school events and highlights via local and regional media as well as social and digital media
Oversee the management of department social media accounts including the activities website
Establish guidelines for sponsors, and students in their interactions with media and use of social media when representing Liberal High School
Ensure that sponsors develop and implement a plan and process for communicating with local and regional media and routinely posting on social and digital media
Collect, analyze, and communicate activities data with all stakeholders
Civic Engagement
Lead efforts to increase civic engagement by both students and staff
Coordinate and organize civic engagement and outreach opportunities
Update and revise community service requirements and handbook
Work with community members to arrange civic engagement and student internship opportunities
Communicate civic engagement and student internship opportunities to administration, Student Engagement Coordinator, students, and staff
Ensure the follow-up by students and staff in thanking and recognizing community members and organizations
General
Coordinate and approve summer programs, camps, and clinics, ensuring that they meet organization and/or KSHSAA regulations
Conduct data gathering and analysis regarding activities, clubs, participation eligibility, and qualification for end of the year awards
Research relevant topics for the school and athletics department
School-Wide
Assist with student supervision during the school day as necessary
Assist the athletics director and/or principals as needed
Work with Signature Move teams to coordinate, organize, and communicate homeroom activities and plans

USD 480 is a school district with 130 years of history, pride and tradition, including state championships in numerous sports, award-winning“That” Liberal Band, an AVID National Demonstration School, a Spanish/English dual language program, a community early learning m center, and a strong collaboration with Seward County Community College. But in 2018, we began a new era. As an original member of the Kansas State Department of Education’s Redesign initiative, we emphasize #everylearnereveryday.
Through a strong community presence and numerous partnerships with local businesses and organizations, our schools focus on personalized learning, project-based learning, and giving back to the community what they have so graciously given us with the construction of new facilities. In 2014, the Liberal voters overwhelming supported a $127.8 million school bond that resulted in five brand new schools and major renovations to existing buildings across the community- the largest bond project in Kansas at the time! The addition of these schools helped us address overcrowding at neighborhood schools and created state-of-the-art learning environments that students, staff, parents, and community are proud of!
